Running a small business is crazy enough, your email shouldn’t make it worse. Your inbox is full of invoices, customer info, and sensitive data. A few smart habits can keep it safe without slowing you down.
Check who’s really emailing you. Scammers love pretending to be clients, suppliers, or even your team. Peek at the full email address, not just the name, and watch for weird spellings or strange domains. If it feels off, stop and double-check.
Turn on Multi-Factor Authentication (MFA). MFA is that extra step that keeps hackers out. Even if someone steals your password, they still can’t get in without a code. It’s quick to set up and seriously worth it.
Think before you click links. Hackers love urgent messages like “Pay now!” or “Verify your account!” Hover over links to see where they actually go. When in doubt, type the website yourself instead.
Be skeptical of attachments. Unexpected invoices, resumes, or docs can carry malware. Ask yourself if you were expecting it and if it makes sense. If not, delete it or verify first.
Question weird requests from your boss or colleagues. Hackers often impersonate them asking for gift cards, payments, or sensitive info. Stop, think, and verify before doing anything.
If in doubt, contact them using an alternative contact method. Be cautious that any replies you send to them may be sent to a potential scammer. If you have another way to contact them, such as a phone call, WhatsApp, or even just walking down the hall!
